Pay Range: $21.07-$26.33 Hourly

Under limited supervision, the Administrative Assistant provides wide range of administrative and executive support related tasks to optimize the effectiveness and efficiency of the Executive Team, Executive Assistant and Board Officials. This individual provides a wide range of support, including composing and editing letters, memorandum, reports, presentations, phone coverage, scheduling appointments and planning meetings. Must be exceedingly well organized, flexible and enjoy the administrative challenges of managing high level executives involving a fast paced and sometimes high pressure environment.


  • Professionally prepares and proofs complex and confidential correspondence, reports, forms, presentations, meeting packets and other documents as directed using a variety of forms and methods.
  • Schedules/coordinates meetings and travel arrangements for Executives and Board Officials, including catering needs, copies, and off-site coordination.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including but not limited to, creating and maintain files/records, travel expenses and various reports. Able to communicate and coordinate the activities while executives are away from the office.
  • Owns preparation and distribution of Board related material including, but not limited to: Board Packages, Committee packets, CEO Monitoring Reports and other complex reports.
  • Effectively screen visitors and phone calls seeking the Executive Team, answering their questions or directing them to the appropriate individual.
  • Handles inquiries by Board Members, Leadership Team, and Team Members related to certain credit union documents such as credit union bylaws, committee charters, Board policies, Shared Vision and Business and Strategic Plans. Ensure the preparation, proofing, editing, formatting and distribution of the documents.
  • Serves as the Executive Assistant’s backup as needed.

Job Requirements


  • 4 years of recent experience in administrative support role at the executive level and supporting multiple executives.
  • Experience working within a financial institution is preferred (Basic knowledge of financial institutions and core products offered- e.g. savings, checking, CDs, etc.) and General policies and procedures.
  • Advanced grammar and spelling, business writing style and filing systems knowledge is a must.
  • Excellent computer skills, including the Internet, Microsoft Outlook, Word, Excel, PowerPoint and Adobe (PDF creation) are a must.
  • Must have excellent oral and written communication and interpersonal skills, ability to communicate both formally and informally as occasion merits as well as the ability to develop and maintain relationships at all levels of the organization.
  • Excellent calendar management skills, including the coordination of complex and multiple-participant executive meetings.
  • Resourceful, proactive, efficient and works well under pressure.
  • Attention to detail and ability to work on multiple tasks and projects simultaneously.
  • Ability to prioritize competing demands and deliver outcomes on time.
  • Strong organizational and time management skills.
  • Analyze and assess various situations/needs, identify potential impacts, and proactively research, address and/or recommend solutions.
  • Demonstrated ability to exercise confidentiality and discretionary judgment.
  • Demonstrated ability to follow written and verbal instructions and work under limited supervision.
  • High School diploma or equivalent is required; Bachelor’s Degree is preferred.
